Advanced ENT & Allergy, a long-standing member of the Louisville and Southern Indiana healthcare community, is seeking to add an empathetic and patient-focused Surgery Coordinator to support our Physician team. Position is based at our New Albany, Indiana office and will support multiple Physicians.
As a growing mid-size practice, our company is large enough to have solid processes in place, but still maintain the small office feel. A recent partnership with Southern Ear, Nose, Throat and Allergy (SENTA) physicians, a leading community of physician-led and patient focused practices, has brought additional growth opportunities to our team. Advanced ENT and Allergy is a busy practice providing a full spectrum of ENT care as well as a full complement of head and neck surgery. Our 13 Otolaryngologists and Board Certified Allergist utilize the latest technology, research and patient care techniques to create a top tier patient experience.
Our surgery coordinators work directly with both physicians and patients during the process. Surgery coordinators own the full scheduling process by initiating and monitoring the scheduling cycle including entering patient information, verifying insurance, and ensuring clear communication occurs with patients and other staff members. Teamwork is imperative in this role, with willingness to assist other Surgery Coordinators as needed a requirement.
Responsibilities
- Coordinates surgery scheduling to utilize physician’s time efficiently
- Coordinates Allergy testing and diagnostic testing for patients
- Provides patient education to the surgery patients to be scheduled
- Obtains patient/guardian signature on surgery acknowledgement form
- Verify insurance coverage and deductible information prior to surgery and informs patient of benefits
- Verify if precertification is required for surgical procedures/diagnostic testing. Submits information to precertification coordinator to obtain, if needed
- Assists precertification coordinator by obtaining precertifications when needed
- Financial counseling of patient for payment arrangements prior to surgery
- Assures patient payments are paid at least 7 days prior to surgery date
- Schedules out-patient lab, x-ray or other exams (checks on prior authorization, obtains authorization). Provides facility with appropriate information
- Schedule post-op appointments with physicians
- Manages physician’s Online Surgery Calendar
- Provides facilities and surgery assistants with updated schedules
- Contact and coordinate surgical assistants for cases as required by surgeon
- Reviews pre-op diagnostic test results for abnormal findings, notifies physician
- Preparation of H&P, fee tickets, copies of test results, prescriptions, and films for surgery patients and give to physician prior to surgery
- Manages telephone calls relating to Scheduling Coordinator duties from patients, hospitals, surgery facilities, and insurance companies
- Run Visit Tracking reports in the Practice Management System and compare to the physician’s surgery schedule to verify that they have been billed
- Follow-up on no-show and cancellations of surgeries
- Cancer registry forms
- Document scanning and filing
- Back up and assist all other departments when needed and/or when his/her work is completed
- Maintain the confidentiality, security, and physical safety of all patients
- Organize work area
- Communicate problems with patients, Physicians or other personnel to the Clinical Manager

- High school diploma or equivalent
- Medical training in terminology
- Minimum of two (2) years’ experience in physicians’ office
- Previous Procedure and Diagnostic Scheduling, highly desirable
- Previous experience with insurance verification and billing preferred
- Previous experience with billing and collections helpful
- Simple mathematical abilities
- Typing at 45 wpm with accuracy
- Previous computer skills on Physician Practice Management System and/or Windows application with mouse
- Medical terminology with CPT-4 procedure coding, ICD-10 diagnostic coding preferred
