Position Overview
The Surgery Coordinator reports to the surgery center nurse manager. The Surgery Coordinator is responsible for running the front office operations of the ASC, posting cases in the EMR, managing the surgical block schedule for the ASC, filling the ASC block times, coordinating care with physicians, support teammates, nursing and operational leaders, collaborating with surgery center nurses and support teammates, completing all scheduling and paperwork for all surgeries, completing all precertification authorizations for surgery, and collecting any pre-surgery payments. This position also includes confirming that all required equipment for surgery has been requested.
Key Responsibilities
- Schedule all surgical procedures at the surgery center, preoperative testing at appropriate hospitals or offices or surgical instrumentation
- Obtain pre-certification authorization for surgery for both primary and secondary insurance carriers at least one (1) week prior to surgery date
- Ensure patient consults are pulled and included surgery paperwork at least 24 hours prior to surgery (before the paperwork is sent to the front desk and prior to the patient’s surgical consultation
- Ensure all patient consents for surgery are signed by the patient and witnessed prior to surgery
- Complete surgery flow sheets prior to surgery and enter all CPT and diagnosis codes into the surgery scheduling chart in the EMR
- Explain surgery financial policies to the patient, and arrange for prepayment for cosmetic, self-pay, commercial insurance deductibles and coinsurance when applicable
- Advise cosmetic patients on all surgery estimates, including physician, hospital, anesthesia and surgical implant charges
- Chart all progress notes in EMR including all scheduling messages and voicemail messages regarding patients
- Check scheduling voicemail messages routinely throughout the day and return all messages before leaving for the day
- Fax or send History and Physicals to Hospital prior to surgery as needed
- Perform a final review of all paperwork to confirm completeness prior to surgery
- Schedule patients throughout the day per physician request, including entering surgery times and dates in to EMR and physician personal calendars or schedulers
- Maintain the Physician’s personal calendars or schedulers including scheduling any business development meetings, appointments and/or travel plans as required by the Physician outside of normal clinic and surgery schedules
- Ensure that the EMR schedule reflects the appropriate schedule blocks to accommodate all meetings, appointments and travel plans
